Job Description

 Executive Director’s Assistant (FT)

Voces de la Frontera is a national leader in the movement for immigrant and worker rights and the largest grassroots Latinx membership organization in Wisconsin. Led by low-wage immigrant workers and students, Voces works to protect and expand civil rights and workers’ rights through leadership development, community organizing, and collective empowerment. Voces de la Frontera has chapters in cities across Wisconsin. Voces' student arm is called Youth Empowered in the Struggle.

As an Executive Assistant at Voces de la Frontera Action, you will play a pivotal role in supporting the Executive Director in various administrative tasks. Your responsibilities will include scheduling and communication, meeting coordination and travel arrangements, board member engagement, financial tracking and reporting, and communication management.

Responsibilities:

1. Scheduling and Communication:

  • Manage the executive director's schedule efficiently.
  •  Arrange meetings, draft communications, and ensure timely follow-ups.
  •  Schedule staff check-ins, board meetings, campaign meetings, and meetings with national partners and funders.
  • Ensure effective communication to all community members.

2. Meeting Coordination and Travel Arrangements:

  • Provide support during meetings attended by the executive director.
  • Coordinate travel arrangements as necessary.
  • Collect and organize monthly program reports for presentation at board meetings.

3. Board Member Engagement:

  • Confirm board member attendance for monthly meetings.
  • Coordinate interpreters and Zoom logistics for board meetings.
  • Assist with organizational committee meetings and board member orientations.
  • Gather and share monthly staff program reports, agendas, and minutes with the board in a timely manner.
  • Archive meeting documents and finances for auditing purposes.

4. Financial Tracking and Reporting:

  • Track and report expenditures on behalf of the executive director.
  • Prepare necessary documentation for expenditure receipts.
  • Understand compliance rules related to the executive director's political activities.

5. Communication Management:

  • Act as a liaison and demonstrate excellent communication skills.
  • Maintain confidentiality on sensitive information.
  • Flag issues or opportunities to the Executive Director as needed.
  • Provide regular updates to the Executive Director on schedules, meetings, and tasks through weekly meetings and daily check-ins.

6. Email management

  • Sort and filter through Director’s inbox
  • Flag all time sensitive and grant related emails
  • Respond on behalf of the Director to emails if needed
  • Implement system to have Director read and respond to emails efficiently

Qualifications :

· 1-2 years of experience in administrative support

· Commitment to immigrant and worker rights.

· Proficient in Spanish and English requiered.

· Possess a reliable vehicle, car insurance, and a valid driver’s license.

· Proficient in Microsoft Office, Google Suite, and other basic computer programs.

· Commit to continuous learning and development.
