Job Description

Serving in title as a TRAVEL MANAGER, and in report to the Travel Director, you will support 288 TRAVEL in the development and execution of multiple functions. Duties to include, but not limited to:

Pre-Event

  • Outline event specifics and hotel preferences, construct and execute event lodging RFPs
  • Create bid sheets with details relevant to event dates of competition, needs for F&B and AV materials, and usage of any meeting space or extra amenities (parking, etc.)
  • Serve as the main point-of-contact (POC) with hotels to ensure RFP terms are fulfilled accurately – such as low-price guarantee + room allotment
  • Closely monitor event pick-up to ensure room pick-up and general reservations are trending in a positive fashion
  • Account for any unexpected increases and / or decreases in pick-up due to weather, scheduling changes, and / or edits to competition criteria
  • Closely support Customer Service team to proactively solve issues that may arise, including:
  • Solicit changes to room blocks to accommodate guests’ requests for early or late check-in / check-out
  • Adding rooms to room blocks based on team request – including complimentary lodging access for game officials, staff, etc.
  • Aid Customer Service with individual guest relations questions, in the event such help is requested or needed based on volume of activity.

Week of Event / 72-Hrs Prior to Check-In

  • Pending direction and request from Travel Director, Travel Manager to be amenable to serving as the designated POC with Event Directors for event weekends based on volume of activity or other extenuating circumstances

Post-Event

  • Play a supporting role in managing hotel reconciliations process to ensure timely collection of negotiated rebates, commissions, and travel reward points as outlined in the contract

Added Support

  • Play key role in managing productive and friendly relationships with hotel and room providers including visiting hotel locations, on occasion, to support renovations, remodels, etc.
  • As requested, attend industry gatherings, networking events, or other programs designed to build and sustain 288 Travel’s industry profile
  • Proactively communicate with teams, managers, coaches, and all involved parties to share timely travel news and updates, and further drive and encourage travel within selected and contracted hotel partners
  • Seek new clients and prepare pitches to present 288 Travel initiatives to potential partners

288 General Duties and Responsibilities :

  • Exceeding customer needs and objectives – ensuring 288 Travel is well-represented and well-respected as best-in-class agency
  • Create new business objectives (i.e. increase revenues, reduce expenses) by identifying partner needs and developing creative solutions
  • Gather market information to create concepts that will boost the company margins and generate new revenue streams
  • Identify business trends, forecast demand and help prepare the annual sales budget
  • Monitor performance of partner accounts keeping the budget in mind and suggest measures to maintain profits
  • Identification of accounts where revenues may be shrinking and formulates strategies to boost revenues
