Job Description

Our client is a fast-growing, innovation-driven company based in Miami, building a high-impact team to shape the future of our industry. They are looking for a highly organized Office Administrator to manage daily operations, streamline administrative processes, and ensure a productive and well-supported workplace.

Key Responsibilities

  • Office Operations: Oversee daily office functions, including layout, supplies, and equipment maintenance.
  • Administrative Tasks: Organize files, prepare reports/presentations, and coordinate schedules and travel.
  • Vendor Management: Maintain vendor relationships, negotiate contracts, and ensure service delivery.
  • Data & Reporting: Utilize Excel for data organization, analysis, and creating reports using formulas and pivot tables.
  • Support Functions: Handle finance tasks like budgeting and invoicing, support HR activities, and ensure policy and safety compliance.

Qualifications and Skills

  • Bachelor’s degree with prior experience in office administration or management.
  • Strong Microsoft Excel skills, including advanced functions.
  • Excellent multitasking, time management, and attention to detail.
  • Clear verbal and written communication, with ability to liaise at all levels.
  • Familiarity with basic accounting, HR support, and ability to work both independently and within teams.
  • Proficiency in Mandarin to effectively communicate with Chinese counterparts will be advantageous
